Add and Manage Service Codes

This article will help you add and manage service codes (such as CCI codes and GAP codes) for use in Universal Office. Service codes apply to MVA, WSIB, OHIP and EHC patient cases and are used to communicate information about billable services (activities) and products to third party funders. The service code library is made up of service code groups, each of which contains a set of service codes. A group can be defined for use only for services, only for products, or for both.

The service codes library is located in Administration Setup. You must have the appropriate permissions to access the Service Codes library.

To perform the following procedures, in Administration Setup, double-click the Service Codes icon.

Add a Service Codes Group

Note: A service code group cannot be deleted.

  1. Click [New Service Codes Group] on the toolbar.
  2. In the Type drop-down list, select the case type to which the service codes in the group apply.
  3. From the Apply To drop-down list select from one of the following options:
    • To have the service codes in the group available for use for services and products, select All.
    • To have the service codes in this group available for use only for services, select Activity.
    • To have the service codes in this group available for use only for products, select Product.
  4. Enter a Group Description.
  5. Click Save and Close.

Edit a Service Codes Group

  1. Locate and double-click on a service codes group.
  2. Make changes to the service code group.
  3. Click Save and Close.

Add a Service Code to a Group

  1. Locate and double-click on a service codes group.
  2. Right-click on an empty row in the service code table and select Add.
  3. Make sure that the Status is set to Active, then enter the Service Code and Description.
    Note: The Attribute field is optional. For information on how attribute codes are used, see Appendix B with the Partial Pick List of CCI codes.
  4. Click Save and Close.

Edit a Service Code

  1. Locate and double-click on the service codes group containing the code to be edited.
  2. Locate and right-click on a service code, then select Edit.
  3. Make changes to the Service Code and Description.
  4. Click Save and Close.

Delete a Service Code

Note: A code cannot be used once it has been deleted.

  1. Locate and double-click on the service codes group containing the code to be deleted.
  2. Locate and right-click on a service code, then select Delete.
  3. Click Yes when prompted.

Deactivate or Reactivate a Service Code

  1. Double-click on the service codes group containing the code to be deactivated or reactivated.
  2. Locate and right-click on a service code, then select Edit.
  3. Change its Status to Inactive or Active.
  4. Click Save and Close.
