This article helps you set up your mail server for use with eBroadcast.
When you open eBroadcast for the first time, you are prompted to configure your SMTP server settings for your mail server. You can find this information from your company’s email service. If you use transactional services like SendGrid, Elastic Email or Mailgun, you can connect them using API as well. See the Configure API Settings section of this article.
To perform the following procedure, open eBroadcast and select Settings.
Configure SMTP Settings
- Click Configure Mail Server then select SMTP from the Integration method drop-down menu.
- Specify the From name; this is usually the name of your facility. This name will appear in the receiver’s “From” field.
Note: The Reply to field is optional. If you want your recipients to reply to an email address other than the one identified in the Username section below, then enter that email address here. - Enter your email provider’s SMTP settings provided by your mail server.
- Host name: The name of the outgoing mail server or IP address.
- Port: The number identifying which port is used.
- Encryption: The encryption process used to transfer information. Most email services use “SSL” encryption.
- From the Username field, enter the full email address of the SMTP account.
- Click Change password and enter the SMTP account password.
- Re-type the password to confirm, then click Save.
- Click Save to apply mail server settings.
Tip: To clear settings and start over, click Reset mail server settings.
Test Mail Server Settings
To make sure your mail server settings are configured correctly, send a test email.
- Click inside the Send test email to field and enter your email address.
- Click Send.
Note: If the mail server settings were configured correctly, you will receive the test email in your email inbox shortly.
Configure API Settings
Using transactional services like Sendgrid, Mailgun or Elastic Email can help improve the deliverability of your emails or work around some of the limitations of your email service.
- Click Configure Mail Server or if settings were previously set up, click Edit.
- From the Integration method drop-down menu, select a transactional service.
- Enter the API Key available from your transactional service provider, then click Save.
Note: SendGrid requires a Reply To email which will also act as the From email address.
Test API Settings
To make sure your API settings are configured correctly, send a test email.
- Click inside the Send test email to field and enter your email address.
- Click Send.
Note: If the API settings were configured correctly, you will receive the test email in your email inbox shortly.
Send “From” and “Reply-To” Settings
When entering the “From name”, you need to choose a name or title that will be recognizable to your clients. In most situations it’s much better to use a company or brand name over an individual person’s name, unless that person is the brand.
Some webmail clients cut off “From” names in the inbox view. For example, Gmail cuts off addresses at around 20 characters, while Yahoo will change depending on the size of your browser, showing as few as 14 characters.
While it’s good for deliverability reasons to use a “From” address that invites recipients to contact you, you may want responses to go to a different address. For transactional service types of setup, the email address entered into the “Reply-To” box will also act as the “From” email address.

SendGrid
